Program Maintenance
Main

Program maintenance is where you set up details of all your Programs.
A Program is the collective name given to a series of Events. For example a theatre may run a season with “King Lear” playing each night for 2 weeks.  So the Program name would be “King Lear” and the Events would be the individual performances.

To completely set up any venue and each event with its associated pricing, you must follow the full procedure in the order listed below. You can however partially complete the set up and resume where you have left off at a later time.

From the main menu bar, select Maintenance > Programs

Click on the New button. The main Program Maintenance window will appear.

In the Program field, type the name of your program.

A reference Code will be generated automatically.

From the Program category drop down box, select the category of your event.

In the Auditorium/Venue drop down box, select the auditorium where the event will be held from the list of auditoriums showing.
If the auditorium where your event is being held is not showing in the drop-down box, then you will need to create a new Auditorium by clicking on selecting the button with the red arrow at the right side of the box and follow the steps in Maintenance > Auditorium maintenance to set up your Auditorium.

NOTE: If you are holding an event with the same Program Name in different Auditoriums/venues, you must set up this up as duplicate Program but linked to the other auditorium(s). It is normally best to give duplicate programs held in different venues a slightly different Program name so you can identify them more easily.
Furthermore, there are some situations where the Program name is printed without the corresponding date of performance being shown (such as when a Group ticket is printed for season subscriptions). So particularly if you are planning to set up season subscriptions, then you should ensure that each Program in the season is given a unique name.

From the Pricing map name drop down box, select a pricing map from the list of names showing.

A Pricing Map is the main Venue map which has been divided into different Price Categories e.g. Front Stalls, Rear Stalls, Balcony etc.  
If there are no Pricing map names visible or if you have not created a pricing map for this particular venue, then you will need to create a new Pricing Map by clicking on the button with the red arrow at the right side of the box.
If you want to Modify an existing Pricing Map, also click the button with the red arrow at the right side of the box.

If a Venue map has not been created for your auditorium/venue since you are only selling general admission tickets, you still need to create a Pricing Map but the Price Categories will simply be displayed on the Pricing Map as rectangular boxes.

If you want to set up your venue (where a Venue map has previously been created for you) so that some sections sell general admission tickets and other sections sell reserved seating, then you need to go to Auditorium maintenance, select the Auditorium, click on Sections tab, select the section where you wish to sell general admission tickets from the Section Name field, select Modify and check the General Admission box.

After clicking on the button with the red arrow at the right side of the Pricing map name field, the Pricing map maintenance window will appear.

If you wish to change any existing data, click on the Modify button

If you wish to set up a new Pricing map, click on the New button.


In the Pricing map name field, type in a unique name for your pricing map to apply to this auditorium.

Click the Save button.

Next you must make the Pricing map you have just created available for use.

Select the Pricing map name from the Pricing map maintenance window, then click the Modify button.

Check the Available box so that the tick mark is showing in black and not light grey.

Click the Save button.
In the Pricing map maintenance window, the pricing map should now have “Yes” showing alongside it in the Available column.
